Order management

Order management in the Flare navigation is where you work with an order after its date is picked. The page has three tabs:

  • Calendar is your operational month view: every scheduled order, on the day it matters, with capacity and fulfilment progress at a glance.
  • Controls links out to the places in Shopify where you set or change a date.
  • Settings holds order limits, what Flare writes on each order, ship dates and release, and automated dating. See the Order management Settings tab.

The Calendar tab needs the Organised plan or above.

Three views of the month

Above the calendar, three buttons switch what the month counts:

  • Ship date shows what leaves the warehouse each day. This is the view Flare opens on when ship date tagging is on.
  • Delivery date shows what arrives with customers each day.
  • Pickup date shows what gets collected each day.

The buttons change the lens, not the page. The status cards, the day counts, and the day links all follow the view you pick.

What each day shows

  • Order count for the day. If you use order limits, the day shows count / limit with a Near capacity (80%+) or At capacity label.
  • Fulfilment progress, as a bar plus X of Y fulfilled. The bar turns green when the day is complete and red when a past day still has orders open.
  • Channel breakdown. If you use per-channel limits, open the day to see each channel's usage.

The three status cards

Above the month:

  • To ship today, or To deliver today or To pickup today, per the view. This is today's outstanding count.
  • Overdue for shipment, or for delivery or for pickup. These are past-dated orders that are still unfulfilled. This is the list to clear every morning.
  • Missing dates: unfulfilled orders with no date. Usually rule-hidden pickers, which is fine, or draft and imported orders that need a date. Add one.

When a card has something in it, its link opens Shopify's order list filtered to exactly those orders.

Working from the calendar

Click any day for View all orders, View unfulfilled, and View fulfilled. Each one opens Shopify's order list pre-filtered to those orders, where you fulfil, print, and edit as normal. The date tags do the filtering.

The calendar refreshes itself every few minutes. The "Updated N min ago" stamp tells you how fresh it is.

The Controls tab

The Controls tab is a directory of the date controls that live in Shopify, not in Flare. Each card explains one and opens the right Shopify page:

  • Assign dates on draft orders: set delivery and ship dates while you build a draft order, under More actions.
  • Change a date from the order page: edit any order's date, under More actions on the order. See changing dates.
  • Bulk reschedule: select orders on Shopify's Orders page, then reschedule them together.
  • Checkout validation: blocks checkout when no valid date is picked. See checkout validation.

Tips

  • If the Ship date view warns that ship dates are off, turn on Add ship date attribute & tag on the Settings tab. Dispatch planning is the calendar's best view.
  • To bulk-move a day after a courier failure or bad weather, select the orders in Shopify's order list and use Bulk reschedule date. See changing dates.
